Privacy Policy
Effective and last updated: September 20, 2026
1. Scope and who we are
This Privacy Policy explains how VizEmpire ("VizEmpire," "we," "us," or "our") handles personal information through vizempire.com, business scans and reports, client and partner portals, Agents, onboarding, billing, support, and related services (the "Services"). It does not govern third-party websites or services that have their own privacy policies.
2. Our role for direct and white-label services
When a business uses VizEmpire directly, we determine why and how personal information is processed for the Services. When an agency or white-label partner uses VizEmpire for its clients and determines the purposes and means of processing, that partner is generally the business or controller and VizEmpire acts as its service provider or processor under its instructions. VizEmpire remains responsible for its own account administration, billing, platform security, legal compliance, and business records. We may route a request about partner-controlled data to that partner.
3. Information we collect
- Account, contact, and business information: name, work email, phone, company or agency, role, website, address, service category, and branding details.
- Scan inputs and content: website URLs, questionnaire answers, uploaded cards or files, extracted text, public website and business-directory information, report results, scores, observations, and recommendations.
- Agent and service activity: instructions, drafts, approvals, campaigns, leads, reports, connection settings, activity and audit logs, and authorized integration tokens.
- Transactions: selected plan, amount, status, and payment-provider identifiers. Stripe processes payment-card details; VizEmpire does not normally receive or store full card numbers.
- Device and usage information: IP address, browser and device details, timestamps, pages viewed, session or security data, and diagnostic logs.
- Communications: support messages, survey responses, and other communications with us.
We receive information from you, your employer or agency, a white-label partner, public web sources, connected services, service providers, and your browser or device.
4. How we use information
- Provide accounts, scans, reports, dashboards, Agents, support, and requested communications.
- Authenticate users; protect accounts; prevent fraud, abuse, and security incidents.
- Process subscriptions and purchases and maintain transaction records.
- Perform actions through integrations that a user or partner connects or approves.
- Operate, troubleshoot, measure, and improve the reliability and usefulness of the Services.
- Comply with law, enforce agreements, resolve disputes, and protect rights and safety.
- Send marketing communications where permitted, with the ability to opt out.
5. Automated analysis and AI-assisted tools
We may use automated systems, including AI-assisted tools, to analyze submitted and publicly available business information and generate scores, reports, recommendations, and draft work. Outputs may be incomplete or inaccurate and should be reviewed before action. Our approval workflow requires customer authorization before supported consequential changes are published or applied. We do not use automated processing to make decisions that produce legal or similarly significant effects about individuals.
6. How we disclose information
We may disclose information as reasonably necessary to:
- Cloud hosting, database, authentication, storage, email, security, and support providers, including providers such as Vercel, Render, and Supabase.
- Stripe and other payment providers for checkout, billing, fraud prevention, and transaction records.
- User-directed integrations, such as WordPress, Google services, GoHighLevel or other CRMs, webhooks, and connected business tools.
- A white-label partner responsible for the client relationship or authorized account administrators.
- Professional advisers, regulators, courts, law enforcement, or other parties when required by law or necessary to protect rights and safety.
- A buyer, successor, or adviser in connection with a merger, financing, reorganization, or sale of all or part of the business.
We do not sell personal information for money. We do not currently share personal information for cross-context behavioral advertising or use it for targeted advertising as those terms are defined by applicable law.
7. Cookies and browser storage
We use cookies and browser storage that are necessary for authentication, session continuity, security, scan progress, preferences, and core site operation. We do not currently use advertising cookies. Browser settings may let you remove or block storage, but doing so can prevent parts of the Services from working.
8. Retention
We retain each category of information only as long as reasonably necessary for the purposes described here, considering the account or partner relationship, service and support needs, security and audit requirements, legal, tax, and accounting duties, disputes, and consent. We then delete or de-identify information, subject to limited backup retention and legal holds. Authorized connection credentials are retained only while needed to provide the connected service or until the connection is removed, subject to security and legal requirements.
9. Security
We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please protect your credentials and notify us if you suspect unauthorized access.
10. Your privacy rights and choices
Depending on where you live, you may have rights to request access, confirmation, correction, deletion, or a portable copy of personal information; object to or restrict certain processing; withdraw consent; opt out of sale, sharing, or targeted advertising; limit certain uses of sensitive information; or appeal a request decision. We will not unlawfully discriminate against you for exercising a privacy right. These rights can be subject to legal exceptions.
To make a request, email vizempirejd@gmail.com. Tell us the email and business connected with the request and the right you wish to exercise. We may verify your identity and authority before responding. An authorized agent may submit a request where permitted by law. If we deny a request, you may reply to appeal the decision.
EEA and UK users may also complain to their local data-protection authority. Where applicable, our legal bases include performance of a contract, legitimate interests in security, support, service improvement and business operations, consent, and compliance with legal obligations.
11. International processing
VizEmpire and its service providers may process information in the United States and other countries where privacy laws may differ from those where you live. Where required, we use an applicable legal mechanism for international transfers.
12. Children
The Services are designed for businesses and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If we learn that we have, we will take appropriate steps to delete it.
13. Third-party services and links
Connected tools, embedded media, payment pages, scheduling services, and external links may collect information under their own privacy policies. Review those policies before using the third-party service.
14. Changes to this policy
We may update this policy as the Services and legal requirements change. We will post the revised version with a new date and provide additional notice when required. We will not use previously collected information for a materially different purpose without appropriate notice or permission.
15. Contact us
